How to Write a Business Requirements Document (Step by Step)

A Business Requirements Document (BRD) is the foundation of every successful project. Without one, teams build the wrong thing, budgets spiral, and stakeholders lose confidence. Here is how to write a BRD that actually works.

1. Start with the executive summary Write this last but put it first. It should be two or three paragraphs covering the problem, the proposed solution, and the expected outcome. A busy executive should be able to read just this and understand what you need.

2. Define clear objectives Use SMART criteria: Specific, Measurable, Achievable, Relevant, Time-bound. Avoid vague goals like "improve efficiency." Instead write "Reduce invoice processing time from 5 days to 1 day by Q3."

3. Map your stakeholders List every person who has input, is affected by, or needs to approve the project. Include their role, their interest level, and their communication preference.

4. Write requirements using MoSCoW Must Have — the project fails without these. Should Have — important but not critical for launch. Could Have — nice to have if time and budget allow. Won't Have — explicitly out of scope, which prevents scope creep.

5. Document assumptions and constraints Assumptions are things you believe to be true but have not verified. Constraints are limitations you must work within. Both need to be written down so they can be challenged early.

6. Define acceptance criteria For each requirement, write the specific conditions that must be met for it to be considered complete. This eliminates the "that is not what I meant" conversations later.

7. Get formal sign-off A BRD is not finished until the project sponsor and key stakeholders formally approve it. That sign-off is what makes it the official guide for the project and protects you when priorities shift.
